A Three Minute Guide To Become More Productive.
“Productivity is not about how much work you do,
but about how efficiently and effectively you do.”
A question that I used to get every other day and these days every day that “how can I use my time” or “how can I be more productive” (I don’t know when you’re reading this but its quarantine period going on now).
Let me start with a suggestion that stay benign to yourself, make mistakes and always trust yourself.
We have been building a schedule for ourselves everyday subconsciously like the time to have our lunch is fixed between specific hours and it’s not easy to adapt to changes. We can’t expect to grow overnight based on immediate and short-term changes. Growth relies on consistency towards every specific task and thus takes time.
Let me tell you a fact – there’s no one who can make a schedule that’s suits you but only you can, because it’s based on priorities, emotions, time period, the experience of ups and downs, etc in your life.
Everyone has a goal to achieve and how soon you get it depends on how you work towards it, the harder and smarter you work towards it, the sooner you reach at it, yet sometimes when our goal is not fixed but we want to achieve something in life that has many paths to example money, we need to perform various activities to find out what works for us, we need to work towards finding a goal in that activity, the path to be followed and so on.
Every person has a way to work, every person is productive yet does not reach the desired results because we do less work in big time. A specific pattern needs to be developed that may increase the way we work so that we can perform our tasks faster and better in a given period.
Let me talk about how can you develop that pattern and all of the things I will be talking about have been personally used by me, I have been experiencing the results out of it. Before starting we need to understand that everything that we start takes time, it takes time to cultivate or reconstruct a habit
- Keep Juggling Activities (Just When You Start).
Few elements of this many just be useful now as it’s quarantine and few works always, as we have more time to explore ourselves, we can do various activities to find new things that interest us and accordingly plan over long terms goals on it. If you’re some who knows what interests you it’s time for you to decide upon long term goals. These long-term goals need to be divided into shorter ones depending upon the tasks.
- A To-Do List.
Every person talks about this, they think that it’s an easy task to maintain a To-Do list but fails as there are many things to look before and after the actual process, I will not help you to prepare a To-Do list as it totally depends on your priorities but will help you with points to remember while you make one –
- Never make it complex with unequal task distribution (Dedicate the tasks for the day according to time).
- Never Fill up the list with tasks that aren’t oriented to your goals.
- Break larger tasks into smaller ones and smaller depending on time.
- Keep gaps between tasks to take rest and complete immediate tasks.
- Group similar kinds of tasks together to avoid time consumption.
- Remember the 20/80 Rule. (We will soon have a blog on this).
- A Distractions List.
Prepare a distraction list that will help you avoid unnecessary activities such as rolling over through social media, etc. Keep updating this list with time, as it helps to stay focused on the task and achieve it sooner.
- Do Not Multi-task, observe the pattern.
This is something because of which I have wasted my long hours. Switching tasks without completing the prior one leads to a break in work cycle that slows down our work and also a fraction of your whole time is consumed because of multiple shifting of you from one place to another or getting things at a place.
Even if no ones there to ask you for the total work you have done, keep a time manual to record the time of completion of tasks. This is really interesting and important to do as this helps you to find out which were the most productive hours for you and you can accordingly analyse the peak hours for you as well as do deep work.
- Ask for Help.
No one here can be a master of all activities and it’s better that we ask help from others whenever needed, this really helps to save time because it removes the time consumed in reading and practicing unwanted stuff. Delegating or outsourcing the work you cannot do perfectly will help you get your work done as well as you can focus on mastering the skills you’re better at.
- Break, Break, Break.
The last and one of the most important is to give your body and mind rest between hours of work, our body needs recharge that can be fulfilled by either grabbing some food, sleeping for some time, gaming, doing your favourite activity, exercising, meditating, etc.
Giving your body required rest makes you more focused and precise towards your tasks.
These were few important steps that everyone can take to increase their productivity, it’s quarantine and I suppose this is the most important time for every one of us to analyse our interests, work upon them, plan long term goals, complete our backlogs, etc.
Always remember that everything you do is a productive task be it cooking, gaming, reading, painting, etc. what matters is how effectively we can use it in our long-term goals and atlas make it work for us.
Just Sharing few things, I do to be productive –
- Sleep soon, wake up early.
- Walk, Exercise & meditate every morning.
- Give the first 90 mins to most important tasks.
- Use less of mobile and do less of non-essential stuffs.
- Have a comfortable and clean working place and have water bottle with me.
- Break down bigger tasks into smaller and then according to daily limits.
- Read a book before I sleep.
- Take enough breaks, eat every 2 hours, and have at least 8-9 hours of sleep.
I hope this was a helpful blog for everyone.
If you want me to prepare a productivity manual to gift you, put down in comments and I’ll help you with a layout that will lower your burden of daily preparing a To-Do list and so on.
Till that stay safe, stay healthy, stay productive.
